Program Fees and Practical Details
Program Fees
Trip fees cover personal travel costs only, including lodging, in‑country transportation, group admissions, and meals listed as included in the itinerary. These fees are not donations to Surprised by Hope and are not tax‑deductible. Any optional personal giving to the ministry occurs separately and without solicitation.
- Deposit: $2,000 due at registration
- Final balance: $3000 due by May 1
- Payment methods: card/bank/other
- Confirmation: You will receive an email receipt after payment is submitted.
Required Documentation
- A passport valid for at least six months beyond your return date
- Any visa/entry or transit requirements for Greece and routing countries (if applicable)
- Up‑to‑date contact and emergency information
Travel Insurance
Travel or medical insurance is strongly recommended to protect against unexpected disruptions or personal emergencies. It helps ensure you are covered if plans need to change.
Refunds and Cancellations
Program Refunds
Program fees should be considered non‑refundable. Many trip expenses are paid to external vendors well in advance and cannot be recovered once booked, and the small‑group model means that changes in participation significantly affect the overall cost for everyone. For these reasons, we are unable to return payments in the event that a participant needs to change or cancel their plans, which is why we strongly recommend travel insurance.
Program Cancellation
If the trip must be cancelled by the organizer before departure, payments received will be refunded to the extent recoverable from external vendors. Because many costs are paid in advance and are non‑refundable, we cannot guarantee a full refund. This clause does not replace travel insurance, which is strongly recommended.
This Encounter requires a minimum of four participants. If the minimum is not met, the trip will not be booked and all payments will be refunded in full.
Travel Insurance
Travel or medical insurance is strongly recommended. Unexpected changes can arise from personal health concerns, family emergencies, travel disruptions, geopolitical developments, or environmental conditions. Insurance helps protect your personal investment if plans need to shift.
Participant Waiver & Acknowledgements
Please read carefully. You will agree to these items in the form below.
Nature of the Experience
I understand this is a Scripture‑centered educational journey with a full and fast‑moving pace; it is not a leisure tour, mission trip, or fundraising event.
Reflection and conversation take place naturally as we move—at the sites themselves, during travel, and around the table—shaping how we engage the Encounter together.
Health, Mobility, and Conduct
I am able to participate in moderate walking over uneven surfaces, steps, and varied terrain, and I will disclose any relevant medical or dietary needs in advance.
I will engage others with courtesy, follow site rules and local norms, and contribute to a healthy and constructive group environment.
I understand that trip leaders are responsible for guiding the experience, and if my behavior becomes disruptive, divisive, or inconsistent with the purpose of the Encounter, leaders may require me to return home. Any costs associated with an early departure will be my responsibility.
Assumption of Risks and Releases
I understand that travel involves inherent risks (movement through public spaces, changing conditions, schedule adjustments).
To the fullest extent permitted by law, I release the organizing entity and its representatives from claims arising from ordinary risks of travel and participation, except in cases of gross negligence or willful misconduct.
In an emergency, I consent to necessary medical care and accept responsibility for related costs.
I grant permission for the use of photos or video that may incidentally include my image.
Financiail Acknowledgement
I understand that program fees are personal travel costs and not tax‑deductible charitable contributions.
I have read and agree to the Refunds and Cancellations policy above.
